Description : We are looking for a Band 2 Administrative assistant to work in the busy Gynaecology department in Liverpool Women’s Hospital.
This post will support the multidisciplinary Gynaecology team in the departments based in Liverpool Women’s Hospital and also in Aintree Hospital.

The post holder will provide comprehensive administrative support to the Gynaecology team as described as receiving support in the Service Specification.
Undertaking a range of duties including general office admin mainly letter transcription, photocopying and receiving and actions clinical correspondence.

Main Duties and Responsibilities:
Manages a defined workload of activity on behalf of a defined group of clinical staff and their teams for letter transcription, production and editing. Ensure that all correspondence including outsourced dictation and locally generated dictation relating to the consultant, his or her team, is accurate and produced within agreed timescales
Providing support for general administrative duties including photocopying, filing and patient record request and retrieval from clinics and patient records. Produce ad hoc letters, minutes and reports as required using technology where available.
Supports the arrangement of meetings and offers support for diary management as required.
Receives, allocates and actions correspondence in liaison with the relevant personal assistant.
Handles internal and external telephone calls directing them or managing them appropriately. Provide advice on administration as appropriate in relation to specific duties.
Maintain an up to date electronic and paper office filing system appropriate to the relevant department and undertakes filing in patient records in accordance with the Trusts Records Management Policy and the filing responsibilities for each clinical area.
Ensures data entry onto Trust systems is consistent with workflows and follow standard operating procedures.
The post holder will be flexible in order to meet the requirements of the service in agreement with Clinical Administration Manager and in line with the Service Specification.
Establish excellent working relationships with the management, clinical and administrative staff.
Undertake requests for patient records for clinician review and support retrieval of records to support activities within the clinical team.
