Description : Duties
Reviews, analyzes and evaluates the accomplishments of various office administrative functions, such as records management, reports control, form control and administrative standard operating procedures.Performs administrative duties such as drafting correspondence, tracking equipment, maintaining records, and ordering supplies.
– Advises personnel on proper maintenance and control of records. Periodically surveys records maintained throughout the assigned sections for compliance with established regulations and procedures, noting deficiencies, and inadequate filing. Initiates action to correct deficiencies e.g., improperly identified records and implements instructions for destruction and/or transfer of records. – Responsible for archiving and shipping of organization records.
Acts as a liaison and maintains communications with persons and/or groups within and outside of the section or office.Acts as a department ambassador.Schedules appointments and keeps accurate calendars for section chiefs and section events.Coordinates confidential personnel actions including maintaining personnel files, preparing annual review forms and distributing them to supervisors, organizing personnel files to assure required information is available for accrediting agencies.Responsible for time and attendance reporting, prepares time and attendance reports for all PLMS personnel.Processes, edits and formats materials such as correspondence, reports, memoranda, and other forms of written communication including the following: edits letters, composes letters and reports, reviews correspondence for accuracy and completeness, and develops standard or form letters, and replies to inquiries.Researches, prepares and formats presentations and other documents as requested.Performs all department onboarding of new employees.Tracks and manages credentialing of department employees.Talent Management System (TMS) administrator for PLMS staff, creating and distributing reports for mandatory curricula and maintaining accurate course completions.Serves as the first line of contact for computer/printer problem resolution training. As well as a liaison between the service and OIT when more assistance is needed

Qualifications
To qualify for this position, applicants must meet specialized experience within 30 days of the closing date of this announcement.
GS-6 grade level: One year of specialized experience (equivalent to the GS-5 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA’s) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes but is not limited to: Triages phone and walk-in contacts from internal and external customers. Performs administrative duties such as drafting correspondence, tracking equipment, maintaining records, and ordering supplies. Maintain purchase card usage for services and supplies to support department operations and services; enters card request and complete reconciliations according to local policy and procedures. Maintain records (hard copies) of purchase orders and reconciliations. Reviews, analyzes and evaluates the accomplishments of various office administrative functions, such as records management, reports control, form control and administrative standard operating procedures.
In addition to meeting Specialized Experience the following is required: Typing Proficiency: 40 words per minute typing speed. Applicants may meet this requirement by presenting a certificate of proficiency from a school or other organization authorized to issue such certificates or by self-certifying their proficiency.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Education
There is no educational substitution for the GS-6 level.
