Properties owned and managed include residential homes, mostly in the conservation village of Llanover and surrounding countryside. The estate also has numerous agricultural buildings and a growing commercial portfolio of offices and light industrial spacesRole Title: Office Manager/Secretary.Purpose of role: To assist with the management and administration of the property portfolio, providing secretarial and administration support.Reports to: Resident AgentLocation: Court Farm, Llanover, Abergavenny, Monmouthshire. NP7 9HYPart time- 30 hours/week, Monday-FridaySalary: Negotiable, depending on experience21 days Holiday + Bank HolidayCompany Pension SchemeUse of Pool CarTo prepare, format and issue high quality documents and reports.To organise and service meetings including agendas, minutes and ensuring follow up action.Handle and prioritise all outgoing and incoming correspondence (email, letters, telephone calls, deliveries)To receive and instruct requests for emergency repairs from tenants.Property portfolio administration and archiving of property recordsAdministrative support relating to the letting of vacant properties.Preparing documentation associated with lease and licence renewals, rent reviews as instructed.Updating of computerised recordsFiling and administrative support as required.Maintain Health and Safety documents.To manage the holiday calendar.To manage the human resource administrationTo manage the website and ensure the content is current and relevant.To ensure all relevant service documents for properties are current and compliant.To deal with incoming and outgoing post.Such other duties that may be required from time to time.Requirements: Excellent level of typing and I.T skills with a full knowledge of Microsoft applications.Previous secretarial experience within a professional service setting an advantageExcellent literacy and punctuation skillsAccuracy and attention to detailFlexibility and ability to multi-taskWillingness to learn and embrace change including new softwareDiscrete and trustworthyAbility to be proactive and take the initiative.Organised and confident.This role profile is not exhaustive; it will be subject to periodic review and may be amended to meet the changing needs of the business.Part-time hours: 30 per weekApplication deadline: 18/02/2022Job Types: Part-time, PermanentSalary: From £12.00 per hourBenefits:Company pensionOn-site parkingSick paySchedule:Monday to FridayWork remotely:No
