Provide administrative support to the Organizational Development and Recruiting teams. Accurately prepare and distribute various memos and regularly scheduled reports on a timely basis. Monitor the recruiting hotline and direct calls to the appropriate parties. Maintain an appropriate level of supplies for department projects. Manage the department procurement card. Act as a backup to the LMS Administrator, fielding questions and issues from employees and directing them to the appropriate individual for resolution.Travel Support. Support the management of the enterprise travel program. This includes management of the travel database, providing support to travelers with the online and app booking tools, as well as working directly with our AMEX GBT account manager. Support the recruiting team in booking candidate travel and reconciling candidate expenses.Maintain Calendars and Schedule Meetings. Ensure shared department and enterprise training calendars are accurate, sending out reminders and communications for events. Make arrangements for meetings including meeting location, food arrangements, room setup, audio-visual aids, and printed materials.Vendor Management, Invoice, and Expense Processing. Work with various vendors to ensure timely delivery and accuracy of products and services provided. Review and accurately code invoices and credit card expenses. Coordinate payment process for department expenses. Verify charges shown on monthly cost statements. Maintain proper records of procurement card charges and assure proper procedures are followed.Additional Responsibilities. Other duties as assigned.QualificationsSkills You Will Need: Education. Requires a minimum of an Associate’s degree. A bachelor’s degree is preferred.Experience. 3-5 years of administration or office work experience is required.Technology Skills. Must have appropriate typing skills and a thorough understanding of Microsoft Office and Google Suite. Must be comfortable with printing, scanning, and faxing various documents. Advanced knowledge of PowerPoint, Google Slides, Excel, and Google Sheets is preferred.Interpersonal Skills. Must have excellent communication skills, both written and verbal, and the ability to interact well with people at all levels of the organization.Integrity. Must act with unyielding integrity and honesty in business transactions, promote company policies, and hold self and other employees accountable.Attention to Detail. Must have keen attention to detail, especially with typing, administrative tasks, and coding of expenses, which require a high degree of skill and accuracy.
