We provide comprehensive training and team collaboration to provide a work environment full of support and passion for our patient’s goals and outcomes.Job Description: The Check-In/Check-out office care coordinator is ultimately responsible for ensuring an excellent customer service experience, the patient’s adherence to their Chiropractor’s clinical recommendations, and the AlignLife office policies. This includes coordinating all aspects of the patient experience by managing the patient schedule, patient files, active patient payments, and overseeing internal marketing campaigns.The Front Desk Check-In and Check-Out CA consist of two roles, Check-In CA (CICA) and Check-Out CA (COCA).Check-In CA is the “Boss of Today”. Their primary focus is always patient flow, scheduled appointments, and compliance. Check-In is always ready to receive the incoming patients, and is the time-keeper for the office. Check-In CA is secondary for incoming calls and instrumental in setting the patient’s expectations for their appointment.Check-Out CA is the “Boss of Tomorrow”. The primary focus is to protect, promote and enforce patient accounts, scheduling, collections, and building patient relationships. The Check-Out CA is primarily responsible for incoming calls, financial agreements, basic insurance questions and strongly closing out the visits during the Initial Visit and all reports. The Check-Out CA is instrumental in working with the Check-In CA and supporting, as well as, being aware of office flow.Skills and Additional Requirements:Check-In CAPositive EnergyGreat with people, friendly and welcomingStrong Leadership skillsAbility to say “No” or Correct and Redirect with a SmileLove interactions and busyness and capable of multitaskingCheck-Out CAKind and empatheticSteadfast in the commitment of mission of the practiceHave extremely high value for chiropractic careDeep understanding and appreciation for the patient processGreat with Finances and have a healthy relationship with moneySpecific Responsibilities:In maintaining the primary responsibility as the Front Desk CA you must undertake responsibilities including the following:Conduct Morning/Closing Daily Tasks to prepare the office to start seeing patients and close at the end of the dayConduct a Morning Huddle each morning ensuring that you stay on track and adhere to the agendaGreet all patients by name, have them sign in, and check them into the EMRManage office flowCall on Missed Appointments to Reschedule (same day preferred)Inform Tech CA’s/ DC of patient arrivals for Initial Visits and ReportsMake reminder calls for all Initial Visits and consults.Print Detailed Day Sheet for providers to initialPromote all clinic events with hand-outs, flyers, and communicationsAnswer incoming phone calls/Retrieve and return phone messagesCheck-out all patientsProcess all nutrient salesManage patient accounts (OTC monthly payments, Auto payments, etc.)Conduct Plan of Care Follow UpSchedule future appointments, reschedule missed appointmentsReceive prospect information from screeningsManage patient giftingManage Patient of the Week ProgramManage TestimonialsPromote all clinic events with hand-outs, flyers, and communicationsAt AlignLife South Reno we want our team to be excited about coming to the office.
