POSITION SUMMARY:
Please note that this position is a full time (100% FTE), benefits-eligible, fixed term opportunity for six (6) months with the possibility of extension thereafter based on operational need.
The Events Planner plays a key role in the execution of Stanford’s week-long flagship energy program in May of 2022 Supporting the assistant director for external engagement and the principle planning team, the Events Planner supports the overall program planning and executes on deliverables such as event logistics, site preparation, and vendor management; registration management; event promotion and communications such as website, promotional emails, event materials, speaker, sponsor and participant preparation materials; event multi-media preparation; mobile app content; VIP attendee concierge service; task tracking; expense tracking; and event reporting.
CORE DUTIES:
Design, plan, implement, and coordinate customized events.
Evaluate and select vendors and providers of services considering stakeholder requests and requirements.
Serve as a member of an events team, and contribute in a wide variety of functional areas including decisions around budget allocation, event logistics and facilities.
Consult with stakeholders to determine objectives and requirements.
Inspect event facilities to ensure they conform to the event needs.
Manage accounting operations relating to registration, including daily accounting procedures and reports, final monetary summaries, and/or account transfers.
May serve as project leader on smaller scale events, coordinating teams that plan, implement, and manage all aspects of events or manage program elements of larger scale events.
Utilize and/or maintain complex databases. May use specialized event planning software.
May inspect event facilities for maintenance, janitorial and fire safety issues.
Please note that this role will require 100% on-site work leading up to and including the live events. Once COVID-19 safety measures are no longer applicable, this position will be based on the Stanford campus and will be considered for an option of telecommuting, subject to operational need.
MINIMUM REQUIREMENTS:
Education & Experience:
Associate degree and three years of relevant experience or combination of education and relevant experience.
Knowledge, Skills and Abilities:
Able to execute on complex, overlapping event planning
Well versed in vendor and volunteer management
Professional written and verbal communication skills
Excel, Word, Power Point, Outlook, Google Drive
Familiarity with event management tools such as Certain, MailChimp, Salesforce, Touchpoint mobile app
Familiarity with financial processing tools such as Oracle
Adept at managing, tracking and reporting on highly complex program components
Adobe Acrobat, Illustrator, InDesign, Drupal, Stanford Oracle financials – a plus
PHYSICAL REQUIREMENTS*:
Frequently stand/walk, sit, perform desk-based computer tasks, and use a telephone.
Occasionally kneel/crawl, twist/bend/stoop/squat, grasp lightly/fine manipulation, and grasp forcefully, lift/carry/push/pull objects that weigh up to 21-40 pounds.
Ability to obtain and maintain a California non-commercial class license and drive day or night.
WORKING CONDITIONS:
On-site work environment
May require some travel and working evenings and weekends.
2022 conference dates are May 2-6, 2022. Must be available to work on-site 100% this week.
