About this role
This brilliant EA role provides professional EA services to our MD of SoHo & Marketing.
You will fully understand their needs and will take responsibility for managing the administration of their office, optimising the MD’s time, improving and managing workflow, productivity and aligning to their priorities.
You will form a trusted and effective working relationship with the MD, their leadership team, and their offices, using knowledge and data to support decision making
You will be expected to establish new ways of working, introducing collaboration applications to simplify processes and communication using digital technology and applications.
You’ll have the following responsibilities
Time Management and Meeting Planning: own the MD diary & action log exercising judgement, to prioritise (or delegate) requests with minimum instruction.
Coordinate and managing every aspect of travel itinerary anticipating needs, ensuring cost effectiveness and compliance.
Act as Primary Point of Contact for the office and virtual office. Screens and filters calls and visitors acting as a gatekeeper.
Meeting Preparation: Schedule and organising weekly/monthly leadership team meetings: agenda planning, actions logs etc.
As needed, work with content & data owners on aggregating and producing meeting briefings and presentations
Email Management: Develop processes to manage email workflow, implementing ideas to improve and simplify MD workstack and delegating and sharing as appropriate, seeking guidance where required
Stakeholder Management & Collaboration: Develop and maintain internal and external relationships to maximise impact, wellbeing, collaboration and sharing best practice.
Set a high standard for quality of work, outlining clear expectations and acting as a positive role model
Communications / Engagement: As needed, coordinate people calls/events in partnership with coms team & content owners.
Coordinate engagement & visibility plans including virtual for MD and leadership team
Technology: become the advocate and stay up to date on digital technology and applications making time for training and seeking out best practice to work smarter.
You’ll have the following skills & experience
Confidentiality: diplomacy and discretion in dealing with sensitive strategic and commercial matters
Time Management and Planning: with attention to detail & working to deadlines.
Autonomy: as a self-starter you respond quickly to challenges, working independently using your initiative and seeking guidance only when necessary.
Emotional Intelligence and self-awareness: able to handle conflict whilst maintaining personal integrity.
Relationship building: able to present a strong professional front, build strong relationships
IT proficiency: expert across Office365 especially Outlook and Teams for team/MD coordination and PowerPoint and Word for the creation of documentation.
Expert level written and verbal communication skills with the ability to communicate clearly across all levels of stakeholders.
High level of flexibility to provide business support as and when required.
Active Learner: Committed to continuous learning to attain skills, dedicating time to focus on development and acquiring knowledge.
Governance and compliance – You evaluate and quantify the impact of standard legal and regulatory risks. You use your knowledge of internal and external regulatory standards, legal requirements and principles.
Significant EA or PA experience.
Significant experience of managing complex diary and travel itineraries
Experience of multi -tasking and delivering to a consistently high standard.
Experience in the creation of presentations/documents for business purposes
Experience of delivering with trust and integrity to protect confidentiality
