Description : Executive Assistant to the COO – Blandford – Salary up to £33,000 + benefits
An experienced Executive Assistant is required for our prestigious client based in Blandford to support the Chief Operating Officer (COO). You will be the first point of contact, both internally and externally, screening and handling all access professionally and appropriately.
Responsibilities:
Provide high level secretarial support to the COO, including prioritisation of work
Manage the COO’s schedule, diary management, drafting letters and arranging travel to include booking accommodation and itineraries
Welcome visitors and build relationships with key personnel, professional representatives and suppliers
Provide general administrative support to the Director of Operations and ad hoc support for other members of the Leadership team as and when required
Undertake appropriate projects and presentations as required by the COO and represent the COO/COO’s Office both internally and externally when required
Support the COO in important applications process
Assist with the organisation of staff events
Ensure effective communication throughout and provide support to cover for colleagues’ absences
Manage and maintain records, filing and systems
Communicate suitable training opportunities, make arrangements for training and maintain an up-to-date training attendance register for inspection purposes
Operate in accordance with policies and procedures, ensuring compliance
Skills and experience:
Previous experience of working with a senior manager in an EA/PA role within a fast-paced and complex environment
Proven ability to prioritise and deliver in fast changing environments
Ability to analyse requirements and prepare the COO effectively for all meetings and events in a proactive and timely manner
Excellent IT skills and strong office systems knowledge
Proven ability to construct high quality minutes and meeting notes
A high level of emotional intelligence, interpersonal and communication skills to interact confidently with people at all levels
Well organised and efficient with a meticulous attention to detail
The working hours for this role are Monday to Friday, 8:30am – 5pm with an hour for lunch, equating to 37.5 hours per week. You will also be required to work the occasional Saturday for which time off in lieu will be given.
