Description : The Multi-Asset Solutions Team (MAS) are seeking a full time Executive Administrative Assistant (Grade 440) to provide
robust administrative support in a collaborative and interactive team environment.
The candidate will be committed, motivated, results oriented and forward thinking, acting as an ambassador for 6
MD’s, 7 ED’s and their respective teams of analysts (circa 17-20 employees in total) for the Global MAS business. The
coverage will prominently comprise of the following teams:
Business Management TeamGlobal Strategy TeamInvestment Directors TeamInvestment Specialists Team
Key Responsibilities/Key Tasks, (including but not restricted to)
Extensive diary management for MDs, acting as a gatekeeper and main point of contact for all enquiries
Provide support for any MAS visitors including coverage for the Global Head of MAS, when in London
Attends regular meetings; taking minutes as and when required
Flags incoming issues and concerns, ensures deadlines are met
Travel reservations and preparation of itineraries/complying with the new restrictive travel guidelines
Expense & invoice reconciliation and processing
Managing the BMs pipeline for client flows/producing monthly reports
Co-ordinating the Global Strategy team’s Multi-Asset Solutions Summit (2-day quarterly event)
Liaising with facility staff
Onboarding of new employees
Managing all technology requests via in-house systems
Keeping up to date with audit and compliance guidelines to comply with any role changes/new regulations
across the global business
Logistics for all external visitors
Organisation of materials for client meetings
Ongoing management of the physical MAS secure access area and completing quarterly certifications
Discretionary personal affairs as required (Senior Execs only)
Key Attributes
Minimum 5 years’ experience working within Asset & Wealth Management or similar environment, providing
support to high profile stakeholders
Strong organizational skills, ability to multi-task and prioritize with excellent attention to detail
Remains calm under pressure
Proactive rather than reactive demeanour. Plans for all eventualities
High levels of confidentiality and discretion
High degree of emotional intelligence
Expert written and verbal communication skills. Friendly positive demeanour and enthusiastic approach with
timely communication skills at all levels
Excellent interpersonal skills and the ability to build relationships within all areas of the business
Resourceful team-player, with a proactive approach within the assistant community and can provide back up
when required
Self-starter with ability to organize and manage own time independently, flexible approach to working hours
when required
Highly proficient in Microsoft Office and Concur
Open to change and resilient – Keen focus on problem solving and process improvement
