With tools and guidance to sharpen your skills, you can forge your own career path, love what you do, and let it show.Cortland wish to develop 10,000 BTR units in the UK over the next 5-7 years commencing with our first 486-unit BTR residential development in Watford.To support our continuous growth – we are currently looking for an Office Coordinator to join the London team to support the day to day running of the office but also support the Executive Team with their diary management and admin tasks.Role OverviewYou are responsible for the smooth running of the London office as well managing diaries for Executive team members. The roles you play are:Managing front office activities and services, including the reception area, mail, supply inventory, and facilities. You are also responsible for the planning of multiple diaries for planner to keep track of diaries for a number of Executive Team members. You are also in charge of handling complex situations and multiple responsibilities, including building a schedule for maximum productivity, planning meetings, preparing materials, bringing associates up to speed, and more. Here are the roles you’ll play:The Go-To Person· Serve as the point of contact for cleaning services, building reception, security and management· Request, distribute, and replace access cards· Assist with coordination and execution of office meetings and events as needed· Be part of the support network for the other associatesThe Office Overseer· Manage the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image· Assist as needed with maintenance and alteration of office areas and equipment – as well as layout, arrangement, and housekeeping of office facilities· Purchase, stock, and maintain all office suppliesThe Right-Hand Person· Responsible for the smooth running of the diaries for the executive team members in London. Maintain meeting calendars, coordinate schedules, and organise travel arrangements· Coordinating meetings with internal and external stakeholders· Preparing materials for meetings to support the Leadership Team· Assist in day-to-day projects and assignment· Represent the executive leader both internally and externally· Maintain the strictest level of confidence· Help the executive with prioritization of professional and personal commitmentsThe Task Master· Maintain clean and organised common areas and meeting rooms· Facilitate birthday and service anniversary recognition programs· Assist in preparing expense reports· Compose reports and briefings as needed· Prepare and timely submission of invoices· Provide administrative support and other required assistance· Manage and participate in special projects as neededThe Communicator· Use your written, verbal, and interpersonal communication skills to draft and prepare various communications· Prepare presentations and materials for internal and external delivery· Record, transcribe, and distribute meeting minutes· Communicate to internal and external parties on the executive leader’s behalf, liaising between all groups to streamline correspondence· Develop solid working relationships inside and outside of the companyThe Impact You Can Make· Team meetings are expertly coordinated, communications are effectively transmitted, and everyday tasks just seem to flow more smoothly with you on board.· You are a relationship builder and your presence improves the collaboration within the leadership team with clients, vendors, and investors.· Your colleagues know office processes are running more smoothly, but can’t put their finger on why.
