My client is looking for an Executive Assistant to provide support to the Chief Operating Officer based in Birmingham Business Park. You will be responsible for providing high quality, efficient, accurate and confidential executive support, and co-ordination to the Executive Leadership Team and where appropriate their Senior Leadership Team.
The successful candidate will be a key member of the Executive Support Team and is expected to work flexibly to ensure that high quality administration and Executive Assistant support is always provided, to enable the Executive Leadership Team to function effectively and to provide a positive and efficient image.

Key Responsibilities:
To provide a high quality administrative and secretarial service to Executive Director(s) and their Senior Management Team dealing with all general, correspondence.
Effective complex diary and email management, assessing priority of appointments and real location as necessary.
You will make informed judgements and decisions based on understanding complex demands and conflicting priorities, using high levels of autonomy.
Deal with confidential and sensitive enquiries and to ensure that confidentiality is maintained at all times.
Acting as a first point of contact, and ensuring appropriate response in a timely manner
You will be required to correspond on the Executive Director(s) behalf and attend meetings, as required
To ensure Executive Director(s) is fully brief in preparation for meetings, including preparing briefing documents.
To co-ordinate and support ongoing key projects for the Executive Director(s), project managing them to their effective conclusion.
To co-ordinate, and attend, events on behalf of the Executive Director, including Team Briefings, forums, and Away Days.
To create and monitor task lists in relation to projects the Executive(s) is running, seeking regular updates, and providing updates and feedback to the Executive Director(s)
To design and produce interactive PowerPoint presentations for on-screen events
To provide high level administrative support for meetings, including the effective preparation and distribution of agendas and reports and minute/note taking.
To support the Executive Director(s) in the preparation of board reports, ensuring all spelling and grammar is correct and consistency with branding
Confidentiality is of paramount importance in this role. It is expected that the post-holder will have access to sensitive and confidential information.
You will be aware of GDPR regulations and ensure that these principles are applied in your day-to-day role.
To assist with procurement exercises and to raise purchase orders, with an awareness of budgetary control and management.
Reconcile Executive Director(s) credit card, ensuring coding is provided and authorisation for payment has been obtained
To make, cost effective, travel arrangements for the Executive Director(s).
Key Skills Required:
Current full driving licence and access to a car. There will be a requirement for frequent travel to all of the Group’s offices.
Ability and willingness to work flexibly and to attend meetings and other events outside normal business hours to meet the needs of the service
This post requires a basic DBS check.
Experience of providing high level administrative and secretarial support to Senior Executives
Experience of supporting Boards and Committees
Experience of providing excellent customer focused service for both internal and external customers
Experience of preparing complex letters, reports and presentations
Experience of providing administrative support to meetings, including developing agendas and minute taking
Experience of project management and task completion
Experience of co-ordinating events, including Team Briefings, Forums and Away Days
Experience of working within a complex and highly regulated business environment
High levels of IT skills, with an ability to use a variety of software packages, including Word, Excel and Powerpoint and OneNote
Excellent diary and email management skills
Ability to work well under pressure and deal efficiently with demanding workloads
Highly developed verbal and written communication skills, with an ability to communicate clearly with a wide variety of people
Excellent problem solving and decision making skills
Ability to work with discretion and in a confidential manner
Excellent organisational skills, with an ability to manage multiple objectives and projects to tight time-frames
Ability to work as part of a Team to shared priorities and objectives
Ability to manage senior colleagues to achieve agreed outcomes
Ability to develop presentations from a clearly defined brief
Ability to carry out straightforward research or extract information
