What this job involves
Working closely with the Work Dynamics EMEA CEO, the candidate will act as the extension of the CEO and operate as a critical gatekeeper and coordinator to manage priorities, resolve issues, organise schedule and align with key senior stakeholders to deliver positive business outcomes. Always operating with flexibility and in great collaboration with other assistants requesting of the CEO’s time, it is critical to understand and convey the correct level of importance, priority, and quickly adjust as required, but staying firm on critical commitments. The critical success factor in the role is to manage the CEO’s schedule to allow for time to manage the business, prepare for meetings, contact key stakeholders and make critical business decision with enough time to reflect and digest information. Each day should be with as much pertinent, clean and attention to detail to ensure that the CEO can focus on the business.
A structured approach to best support the CEO
Proactively reach out to the network of EAs; become part of the “virtual” team and regularly align with counterparts in the region and globally
Balance approach based on criticality and timeliness of requests. Exercise judgment and be clear about CEO’s constraints / availability in your interactions with stakeholders and their EAs, and where applicable manage delegations to the CEO’s leadership team
Manage schedule with right balance of rigor and consistency with some flexibility
Be strict in managing the CEO’s schedule, making sure meetings have clear agenda, objectives and expected outcome (informal vs formal, discussion vs decision); proactively manage / request pre-read and briefing packs and develop bio / information page when meeting external stakeholders (customer / supplier etc)
Be familiar with key sources of information via stakeholders and Teams / Sharepoint; apply strict confidentiality guidelines with sharing information privy to CEO with others
Exercise utmost discretion and encourage similar respect of discretion across the leadership team and their EAs
Be on point for urgent / unplanned support request from the CEO (evening / week end)
Day to day operational requirements
Extensive schedule management across multiple time zones, including office room booking, travelling & related logistical management (travels including visas and medical tests / accommodation / restaurants / itinerary etc) where applicable using the team administrative support
Management of incoming / outgoing calls and emails to / from senior stakeholders including clients, and follow up with correct level of urgency and importance; drafting documents and correspondence from the CEO
Organising board meetings and operational meetings (CEO led / chaired) in various locations around the world
Developing and maintaining effective working relationships with internal and external senior stakeholders
Organising client entertainment, both in UK and overseas
Support with project work (as applicable)

5+ year experience as EA to C level individual
Experience with large multinational corporate environment
Experience with fast paced, ever changing environment
Great verbal and written communication skills
Ability to work independently with minimal supervision
Proficient knowledge of technology / IT applications ie Word, Excel, PowerPoint, Teams, Sharepoint
Understands and appreciates the importance of using discretion
Uses appropriate judgement when responding to the needs of senior level executives both internally and externally
Always proactive, flexible, taking initiative and actions
Ability to multitask and prioritise tasks
