We are the largest Ombudsman scheme in the sector and the only one to operate Codes of Practice to raise standards and share best practice in the industry. As a not-for-profit organisation we have been providing a free to use and impartial dispute resolution service since 1990.Key ResponsibilitiesWorking in partnership with the Senior Management Team, this role will provide high level personal support to the Ombudsman in carrying out her duties both internally and externally. You will require a high degree of emotional intelligence, with the ability to identify potential risks and priorities for the Ombudsman and for the organisation. You will be a self-starter, with excellent planning and organisational skills to ensure that the Ombudsman is able to operate as efficiently as possible.With highly effective interpersonal skills you will be engaging on a regular basis at Ministerial level, with senior national figures and their teams on the Ombudsman’s behalf. Internally the role is ambassadorial in context, you will feedback to others within the organisation at varying levels on the Ombudsman’s behalf. Therefore, it is important that you can build strong relationships with all teams and communicate effectively across the organisation, with the Senior Management Team and the Board of Non-Executive Directors.You will be responsible for managing the co-ordination and logistics of Board, Committee and Executive meetings and will need strong writing skills in order to confidently draft board papers and produce formal meeting minutes. This is a hands-on role and involves all the skills you will have gained as a senior personal assistant to executive or Board level individuals.What we are looking forEssentialA level or equivalent education or equivalent working experiencePractical experience as an EA or PA working at a senior or executive levelExcellent organisation and planning skills with the ability to manage many streams of work concurrently, with appropriate prioritisation and within deadlinesExperience of providing a high level of administrative support to Chair and Vice Chair of the Board or equivalent level· Experience of taking minutes for senior level meetings· Demonstrate resilience and adaptability to deal with challenges· Excellent judgement, with a track record of sound decision making· Must be able to communicate effectively, both verbally and in writing, to staff at all levels· Demonstrate confidence to have difficult conversations with senior people and make tough decisions on behalf of the Ombudsman· Ability to organise yourself and your workload effectively, showing initiative and proactivity· Able to capture key issues and identify key information to translate into actions· Able to work as part of a team with minimum supervision· Can see the bigger picture and effectively problem solve issues as they arrive· Organised and methodical in your approach· Adaptable and able to cope with changing priorities· Self-starter, proactive and able to work on their initiative· High degree of discretion, integrity, and confidentialityDesirable· Project management· Relationship management, particularly with politicians or senior civil servantsIf you feel you have the experience and skills for the Executive Assistant position, please apply now.
