Description : We are currently looking for a Junior Office Manager to join our Northern Team in Newcastle upon Tyne on a 6 month fixed term contract.

The Junior Office Manager role
Reporting to the Office Manager you will be required to support the Office Manager in ensuring the effective management of all site based administrative duties for sites/offices in the Northern Region. You will be willing to base you self from the sites as necessary in order to provide the required level of support. At times you may also need to travel to sites in the wider region when additional support is required.
The role requires a high level of interfacing between internal departments and external agencies, such as Sub-contractors and Site Staff.
The main responsibilities of this role include:
Facility management, maintaining the condition of the office and arranging for necessary repairs, minor projects, arranging regular testing for electrical equipment and safety devices, servicing schedule for fire appliances
Control of site purchases, local purchase orders, invoices management, goods received notes
Manage requisition of plant, on hire/off hire, processing invoices for payment
Coordinate weekly plant checks with both the Works/Construction Managers to ensure all items are accounted for
Liaise with the Works Managers and Chief Engineers to ensure accurate recording of all weekly operatives – direct labour time sheets
Recording office expenditure and managing the budget, staff overtime, staff expense management, petty cash
Liaise with project commercial staff to review monthly material & plant costs
Production and submission of weekly timesheet for direct labour weekly payroll
Collate and distribute end of month reports to the Regional H&S Representative
Management of the site first aid and welfare facilities on site.
Ensure close liaison with the human resource business partner to maintain office policies and procedures
Organising the office layout and maintaining supplies of stationery and equipment.
Developing and implementing new administrative systems, such as record management
Your profile
Experience required:
Previous experience in site based administation role
Highly organised, being an initiator in taking responsibility
Must have skills in setting priorities and managing work pressures
Excellent administration skills
Excellent communications skills, both written and verbal, with a high level of attention to detail
Flexible working attitude, with a can-do team player approach
Competent in MS Office applications including Outlook, Excel, Access and PowerPoint
An understanding of corporate social responsibility or sustainability
