The Patient Concierge is the backbone of the practice and has a demanding and visible position, requiring a broad range of experience and expertise.We are looking for a team-oriented leader who can partner with us in focusing the energy of the practice toward success. Someone who is dynamic, energetic, with a strong desire for personal achievement as well as staff success, teamwork, and morale.Our Patient Concierge must demonstrate the following traits: Industry Knowledge – a clear understanding of the industry including technology, fees and finances, scheduling, reports, retail sales, marketing, and customer service.Loyalty – must act in the best interest of the company and the company goals.Fairness – objectively handle uncomfortable situations, be that conflicts with employees or patients and be able to problem-solve.Business Acumen – Solid understanding of profit and loss statements, existing systems and programs, financial policy, patient financing, sales, marketing, and great communication skills.Confidentiality – Scrupulously maintains the confidentiality required for financial, patient, and employee information; knowledge and adherence to HIPAA requirementsInitiative – Initiating and/or assisting with any task, office duty, or project necessary to maintain a highly functioning, fast paced cosmetic medical office.Follow-through – Keep on top of tasks and projects, ensuring timely completion.Responsibilities:Day to day operational, scheduling and financial functions, ensuring that daily systems are in place and operating effectively to provide excellent patient care, superior service, and optimal practice productivity and profitability.Patient Service: Provide an exceptional patient experienceRepresent the Company’s culture as it applies to phones, greeting, wait times, consultation, refreshments, educational material, loyalty/promotional programs.Obtain and exhibit knowledge of all products and services and competently and effectively communicate information to patientsEnsure that patients understand the value of the services providedHandle patient concerns and make appropriate decision to remedyFront Desk Operation: Greet patients as soon as they enterAnswer incoming phone callsScheduling and appointment management to provide high-level care, minimal wait times, and high profitabilityCheckout operation (record payments correctly)Manage patient rewards and points programsScreen patients and follow-up with daily inbound leadsGather and organize patient charts for upcoming appointmentsPrepare new patient chartsPrepare daily sales reportsReceive and sign for packagesMonitor inventory and place ordersOperations & Finance: Adhere to and enforce policies and proceduresCoordinate staff schedules to ensure appropriate patient careCoordinate schedules for multiple providers (doctors, nurses, aestheticians)Become proficient with various financing programs and assist patients as neededHelp to analyze business metricsMaintain relationships with vendors and sales reps to ensure success with products/services/technology and utilizing all savings availableThe preferred candidate will have the following qualities/experience: Experience in healthcare management – running a plastic surgery, dermatology or cosmetic practice preferredMust have the ability to understand and be dedicated to the goals of the practice and work to create the plan of action to obtain said goals independently and with the physiciansInterested in staying current with market trends that may impact the businessProfessional experience and attitude with the ability to relate well with patients, physicians, employees, and other professionalsAbility to adapt and work in a fast-paced environmentMust have the ability to remain calm and exhibit tact in stressful and/or delicate situationsMust have the ability to handle confidential issuesComputer Savvy: proficient with computers and software applications (Google Docs) and quickly master new software (Medical Records and Scheduling)Compelling interpersonal communication skills, ability to influence and negotiate, build trust and rapport.Rapid learner with the ability to grasp concepts and protocols associated with our sales process and computer system.Ability to work independently, strong sense of urgency, ability to work with poise under stressful, fast-paced conditions.Organizational, multitasking, prioritizing, time management and follow up skills, detail oriented, high level of accuracy.Basic social media understanding;
