The Role:
Reporting to the Head of Logistics, the Senior Events Manager is responsible for the logistics in support of optimal delivery of all physical, virtual and hybrid events in the Americas as well as assisting with the delivery of our world wide portfolio of events as required. The role is focused on the following key areas:
1. Sourcing and management of all venue and logistics for all physical events
2. The setting up and coordination of all virtual and hybrid events
3. Ensuring that content for all events is managed, procured and delivered in a timely and efficient manner in coordination with the Events Content Assistant.
Key responsibilities include:
In person events
Venue research and negotiation for in person events allocated to them, ensuring all within budget and based on the event brief provided to them. (Venue comparison, contract signing)
Control costs and manage all payments pertaining to your event, all event cost will need to be broken down by product. Budget management and reconciliation including financial reporting.
Dedicated contact for all regional related questions, responding to any changes or emergencies within the region.
Travel to in person events as the on the day Event Manager – Up to two weeks travel 2/3 times per year (may vary depending on schedule) Act as the point of contact and be part of the travel team, responsibilities include (but not limited to) venue set-up, monitoring, and troubleshooting in-house registration system, catering and AV on the day.
Logistics packs, floorplans and Venue briefs all prepared and accurate. Consistently informing stakeholders with updates/changes
Event App checking, set up QR codes, chase materials.
Health & Safety requirements from venues communicated and managed for events responsible for. Fully communicate internally to stakeholders.
Virtual event management
Set up, manage, and ensure all virtual events assigned are ready and completed in time. Quality checking all materials received and upload to the virtual platforms in a timely manner.
Manage event project plans for all standalone/bespoke events in region.
Working closely with the Customer success team to get all communication ready for their clients to be prepared and ensuring all “booth” materials are in place in time.
Working with the Event Content manager to ensure all pre-recorded content is received and uploaded on time to the virtual platforms.
Working virtual events as the Event Manager for several events in your region and others outside when required. Min of 2 events per week, and weekend working required.
Operational support when required and working closely as a team to ensure delivery of all our events are executed.
Working on guides and materials for virtual events when required.
Strong public speaking – Be able and willing to present and run virtual panels when required.
