Description : PRIMARY RESPONSIBILITIESResponsible for administering the day-to-day activities of the business office, including: maintenance of the recordsof patients, scheduling of patients, accounts receivable, maintaining appearance and order of dental office presentation of financial treatment plan options, and recall/recare system.SPECIFIC DUTIESReception ManagementManage day-to-day operations of dental officeReview the office for a neat, professional appearance and make necessary changesCheck the daily schedule for accuracy and post it in all treatment roomsAnswer and respond to telephone calls with professionalismReview supplies for reception and provide order to Dr. C.Maintain petty cashEnsure that HIPAA Notice of Privacy Practices Notice is on displayPatient ManagementMaintain a professional reception area; organize patient education materials, etc.Greet and welcome patients and visitors to the practiceCheck in patients according to office protocol, verifying and updating patient informationManage recall and inactive patient systemOversee patient relations & handle patient complaints, under Dr. C. indirect supervisionHelp explain office policy to patientsConfirm the next day’s appointments according to protocol and patient preferencesSchedule patients for efficient use of doctor and staff timeCheck patient quick-fill list to try to fill in cancellation and no-show appointment timesCollect payment from patients at the time of treatmentMake follow-up appointments as neededPrepare financial treatment plans and present plan options to patient at end of their appointmentAssist in the treatment room as neededRecords ManagementGather and accurately record insurance information from patientsSee that records are stored securely and handled in compliance with HIPAA privacy and security regulationsAccurately file patient informationArrange patient charts and radiographs for the next day’s appointmentsTrack cases and referrals to and from other doctorsInsuranceUpdate insurance information on all patients at all timesSubmit treatment plans for predetermination of benefitsPrepare claim forms for patients with dental insuranceOrganize supporting materials for claim forms, such as radiographs or written narratives, as directed by Dr. C.Mail or electronically submit claim forms from officeAssist in the resolution of problems with third-party payersInventory MangementMonitor inventory Monitor and make sure all dental office equipment is working properlyOffice ParticipationBe an active participant in staff meetingsPerform other tasks as assigned by Dr. C.Accounts Receivable ManagementEnter patient financial activity in computerMaintain accounts receivable activityPrepare bank depositsPrepare statementsFollow-up insurance claimsFollow-up delinquent accountsArrange payment schedule with patientsBillingPrepare billing statements promptly and accurately mail billing statements as directed by Dr. C.Prepare and mail overdue account letters as directed by Dr. C.Telephone patients with accounts overduePost checks received each dayManage patient financial accountsCorrespondenceSort, organize, and distribute mailPrepare and send out new patient and referral thank-you letters as directed by Dr. C.Prepare and send out continuing care notices as directed by Dr. C.Prepare and send out correspondence as directed by Dr. C.Marketing and Public Relations ManagementMay assist with the design of marketing and promotional materials (print and electronic)May assist with dental office advertising/recruiting ads for new staffMay assist with dental office facility managementPERSONNEL REQUIREMENTSEducation/ExperienceHigh school diploma5 years office experience desiredLegible handwriting for notations in chartsInterpersonalGood interpersonal skills to maintain effective rapport with patients, dentists, other staff members and communityEffective verbal skills to communicate with patients and staffTeam playerAble to adapt to office policy improvements (office is constantly striving for improved customer care/service)Conflict resolution experienceCustomer service or patient relations experienceQuick response/accurate data entry to present treatment plans to patients in a short time frameCommunicate all concerns to Dr. C.Job Type: Full-timePay: $30.00 – $35.00 per hourSchedule:Monday to FridayEducation:Bachelor’s (Preferred)Experience:Microsoft Office: 3 years (Preferred)Customer Service: 2 years (Preferred)Work Location: One location
