Description : To provide support across the Directorate with educational/training administration, ie
booking venues, arranging speakers, catering, note/minute taking and action points where
necessary
Maintaining the diaries of the Matrons and organising meetings as directed
To attend, take minutes and notes at meetings as requested
Retrieving medical notes and information as required
To type up notes and documents as required
To ensure all information is collated and actioned in relation to complaints
Ordering and receiving general office stationery and equipment as appropriate
Maintaining the Healthroster system with updates when requested, under the guidance of
the Matrons
Ensure all actions are completed in a timely manner
To be responsible for collating information for audit purposes and Clinical Governance
information
General Duties and Responsibilities
Prioritising workload on a daily basis to maintain an effective service
To accurately record and input full data/information into the Trusts EPR system in a timely
manner when necessary
Use tact, diplomacy, understanding and compassion when communicating with other
members staff
Ensure confidentiality is maintained at all times
Photocopying and other general office procedures
To contribute in own personal development, through attendance at mandatory training
courses and appraisal
To participate in the training and induction of new staff within the team
To deal with general enquiries to the department and pass onto the relevant individual if
needed
To work as a combined team, providing cover/support in team when necessary at times of
peak workload and/or unavoidable absences/shortages of staff as requested by the
Directorate PA
To provide cover as required for the Directorate PA/Senior Administrator during absence
where needed
Ad hoc duties as required
We are looking for a personal assistant for three Matrons who work together in Acute Medicine and Rehabilitation at Oxford University Hospitals NHS Foundation Trust
We are looking for an individual who can problem solve and turn their hand to whatever they are asked to do. It is critical that the post holder can maintain confidentiality as they will be handling a lot of personal information.
This is a varied and interesting role that can include tasks from the mundane to the extraordinary. It can be very demanding but also very rewarding, so the successful candidate will need to have emotional resilience.
The successful candidate will be someone who can work full time, but we can offer some flexible working.
You should have administrative experience and be competent to learn new electronic systems and technology. You should also have good organisational skills and excellent written and verbal communication skills.
