About the Team
An opportunity now exists in the Business Support Team for an experienced and motivated Officer to become part of the team and develop and assist us in driving the work in the Borough forward.
The London Borough of Hounslow is committed to making a positive difference for our residents by ensuring that the quality services delivered to a high standard. The role will require the applicant to carry out various administrative processes to ensure the smooth running of office systems.
Ensure enquiries from internal and external customers: face-to-face, by telephone, letter and email in a way that positively promotes the council and its services. Suggest improvements to develop administrative processes and systems, ensuring they are regularly reviewed and updated.
Ideally candidates will have some experience/knowledge of using Civica APP (Flare), the use of database systems, experience of processing application forms. Good time management is essential and experience of answering phones, scanning/emailing post and able to use Microsoft office programmes and manage and maintain records, keeping them up to date.
Successful candidates will play an important role in helping to shape the continued development and delivery of the London Borough of Hounslow Community Enforcement and Regulatory Services Team. The post-holders will also play an important role in helping to improve overall standards of compliance.
Key Responsibilities
1. Administrative support to ensure the smooth running of office systems, e.g. filing, photocopying, organising paperwork, arranging meetings and functions, ordering stationery and publications.
2. Dealing with enquiries from internal and external customers: face-to-face, by telephone, letter and email in a way that positively promotes the council and its services.
3. Using and keeping up-to-date with office processes and information technology, including inputting and retrieving information from databases and providing reports and Management Information as required.
4. To work flexibly to provide support across the council as required, e.g. to meet peaks and troughs in workloads.
Your Skills
1. Maintain accurate, timely and legible records. Data input, update, data extraction, photocopying, scanning, filing and typing.
2. Respond to routine correspondence and enquiries. Deal with staff, customers and complainants.
3. Deal with post, emails, phone calls and voicemails and messaging systems. Provide excellent customer service to answer/deal with queries, both face to face, via the telephone, or in writing. Take messages and pass them on in an appropriate and timely manner.
4. Collating data and information. Liaise with staff, clients, and other agencies, to assist operational staff in the delivery of services. Organise meetings, to include invitations, administration, room set-up, management and provision of refreshments for attendees, post-event clean-up.
Essential for The Role
1. Candidates will listen to customer feedback and provides options for them to make informed choices.

3. Works in an organised, efficient and systematic way, ensuring accuracy and attention to detail. Ensures that information is provided on time and to a high standard and can judge information quickly and accurately.
4. Communicates effectively in a way that is open, consistent and clear and uses influencing skills to secure positive outcomes.
5. Monitors progress against performance indicators and personal work objectives. Keeps sensitive information confidential at all times and adheres to the principles of Data Protection and can use information technology to a high standard appropriate to the job role and is willing to learn new systems.
6. Basis DBS is required.
This post is considered by the authority to be a customer-facing position; as such it falls within scope of the Code of Practice on English language requirement for public sector workers. The council therefore has a statutory duty under Part 7 of the Immigration Act 2016 to ensure that post holders have a command of spoken English sufficient for the effective performance of the job requirements. The appropriate standards are set out in the employee specification.
