THE JOB
The Executive Assistant role will provide administrative support to the Chief Operating Officer of Ticketmaster as well as other executives . Additionally, this person will provide administrative and office management support as required, as well as serve as a culture ambassador for the Hollywood office. This person should be productive while working independently and able to perform well while multi-tasking in a thriving, very fast-paced environment.
WHAT THIS ROLE WILL DO
Anticipate executive needs and make sure all work materials are available for a successful workday (ex. agendas for meetings/calls approved and printed ahead of time, lunch ordered, etc.)
Coordinate monthly, quarterly, and annual meetings, which requires interaction with both internal and external executives and assistants, as well as consultants
Serve as liaison between the executive and other departments as directed
Screen and handle telephone communications
Complete expense reports
Coordinate, supervise, and complete special projects
Gather, enter and/or update data in records and databases
Track any invoices and payments
Responsible for handling highly confidential information
Record any travel logistics for Executive
Support team with any other additional needs
Take ownership of office management duties including, but not limited to:
Maintain organized office environment while providing coffee, food, and other supplies
Liaise with building management for all repairs, office comfort, parking, and security items
Manage seating plans for on-site employees and hotel desk assignments for remote workers
Help plan and execute employee events including team meetings, conferences, meet ups, speaker panels, and recruiting events
Maintain visitor polices for SOX & PCI compliance
WHAT THIS PERSON WILL BRING
Strong verbal/written communication
Tech savvy. Must have strong typing skills and command of Microsoft Office suite including Outlook, Excel, and Word
Ability to use Adobe, Box, Visio, Zoom, and other internally used applications
Ability to engage in positive interaction with co-workers, executives, and high-level industry professionals; prioritize, organize, problem solve, follow-up, communicate and diffuse possibly volatile situations with tact
Ability to multi-task, be organized, detail oriented, self-driven, forecast issues and handle last minute projects to meet deadlines.
Great attitude, and calm and collective in a fast-paced environment; helpful, friendly, and diplomatic
Ability to meet tight deadlines and manage multiple projects at once
Ability to prioritize needs on the go and exhibits a strong sense of follow through
Excellent attention to detail and organizational skills
Responsive to requests including verbal status of open projects
