We are looking for an exceptionally loyal and dedicated PA/Office Manager to support our client in Winchester. The role will suit a professional PA who has proven experience as a Personal Assistant/Office Manager, demonstrable longevity in their roles and someone who can multitask calmly and efficiently. The focus of the role is to provide administrative support to the Chairman. The role is varied, interesting and will require the PA to be able to think intelligently and pre-empt tasks.
The Role:
The role is based in a small but perfectly equipped and spacious office within the Chairman’s home located in a prestigious area of Winchester. Some of the duties will include the following tasks but will not be limited to.
Diary management, arranging conference and video calls
Organising travel arrangements as and when required
Managing and replenishing all office stationery supplies
Ensuring all the office equipment is in good working order and when appropriate arrange for servicing
Ordering and maintaining sufficient PPE stocks
Preparing monthly P&L account balance sheets against budgets
Checking bank statements and reconciling expenditure and expenses
Arranging BACS and Cheque payments
Collecting tax documents for the year and help prepare for the annual tax returns
Interact with the Company’s external IT Consultant
Liaise with the Company’s external Accountant/HR agency and arrange monthly salary payments.
Preparation of monthly financial reports via Sage software including VAT
Supporting the Administration Assistant who is responsible for Investment advice and other administrative tasks
Manage pager and electronic filing system
The Person:
Proven experience as a PA and or Office Manager
Someone able to work autonomously and within a small team
The right candidate will understand about confidentially and trust with personal details and financial affairs
Someone who can spot anomalies in emails, letters, documents and accounts
Someone confident with using Sage, MS Office packages
Excellent attention to detail
Communication at all levels is fundamental
A calm and collected approach to daily tasks and the ability to prioritise to unpredictable business needs and challenges
The hours for this role are 9am until 5pm Monday to Friday. There may be occasional need to work outside of these hours as and when required but this is a rare occurrence.
